Part-Time Office Manager Position

The Junior League of Monroe is seeking a new part-time Office Manager to help run the league by coordinating office operations and managing our organization of volunteers. This is an in-office position at our Monroe, LA location.

Location: The Junior League of Monroe
Job Title: Office Manager
Work Hours: up to 6 hours. 2-3 days per week

Job Summary: The Office Manager is responsible for the day-to-day operations of the Junior League of Monroe Headquarters, working closely with the JLM President and the Board of Directors.

Reports To: The person reports directly to the President with oversight from the Board of Directors.

Responsibilities

Day-to-Day Operations:

  • Staff JLM Headquarters, receive visitors and deliveries, answer phones, and general email
  • Provide Administrative support to Membership, the Board of Directors, Councils, and Committees
  • Maintain voicemail system to include upcoming event information and office
  • Set up Headquarters for scheduled meetings (print packets, set up chairs, tables, )
  • Serve as the JLM administrator regarding member records, status, and contact information, and maintain Member database
  • Maintain and email Emergency Preparedness documents to the Board of Directors
  • Other duties as assigned by the President or Board of Directors

Bulk and General Mailings:

  • Assist Committees with bulk mailings and mail merges as requested (i.e., providing labels and/or printed envelopes, printing letters, stamping, and assisting with mail preparation)
  • Prepare and mail monthly member birthday, sympathy, and new baby
  • Send acknowledgment letters of JLM contributions for fundraisers and other events
  • Completion of bulk mailing paperwork and delivery to the post
  • Maintain member mailing

Finance:

  • Maintain a log of checks/cash received at Headquarters and communicate with Finance VP when funds are received.
  • Regularly scan and file incoming bills for the League and communicate with Finance and President upon receipt.
  • Send monthly credit card reconciliation to League card holders and prepare reconciliation for the Office Manager credit card.
  • Make purchases on behalf of committees using the League credit card, as approved by the Finance VP or President.

Office Supplies and Maintenance:

  • Coordinate purchase of office and building supplies
  • Monitor and maintain JLM program supplies, storage inventory, and usage
  • Assist Committees with ordering supplies for special projects as
  • Coordinate the maintenance of office

Records Retention:

  • File and store finance-related documents by the document retention
  • Assist members with updating their profile information in the online database (pictures, birthdays, addresses, emails, etc.)
  • Generate reports from an online database to support Committee
  • Maintain archival digital and hard copy

Desirable Qualifications:

  • Excellent Customer Service
  • Strong oral and written communication
  • Excellent organizational skills, including a strong command of digital and paper filing
  • Ability to work independently with minimal
  • Ability to represent the Junior League of Monroe in a professional
  • Ability to work under varying/changing styles of
  • Position requires the ability to sit for extended periods (1-4) hours and move chairs/tables to set up meeting areas.

Experience:

  • Strong computer skills, comfortable with basic online database content
  • Proficient with QuickBooks and general Accounting
  • Proficient with Microsoft Office Suite – Outlook, Word, Excel, and
  • Min, two years of administrative work experience
